Create a New Sales Up

When prospecting a customer learn how to create a new sales up.

Overview 

When a user creates a new sales up, the system will create a new account automatically. To avoid creating duplicate records, the system uses five key parameters (first name, last name, email, mobile, home phone) to search for open sales ups on existing accounts. A system prompt will notify the user of possible matches. The sales up can be created under a matching account or a new sales up can be created, resulting in a new account. The user who creates the record will be assigned as the record owner.

Customer is a walk-in / phone up

First Step

There are two general ways to create a new Sales Up record. From anywhere in the system, use the Create New drop down located in the sidebar. Or click the Sales Up Tab and find the New Sales Up button.

Second Step

Select the Record Type for the new sales up. A Curb Purchase is a customer only selling their vehicle to a dealership, whereas a Standard Sales Up is a customer shopping for a vehicle. 

Select the Record Type and click continue

Third Step

Start by entering the First and Last Name and select a Lead Type from the pick list. This completes the five required fields and you can click create, however it is recommended to enter a phone number, email address, and choose the source that brought the customer to the dealership.

helpNote_icon.gifBecause a Sales Up record has to be related to an Account, creating a new Sales Up will also create a new account if one does not exist.

When a duplicate record is detected the user will have a chance to select the existing record or create a new one. Click the underlined Sales Up displayed under Name in the warning to continue with that existing record. If you choose to create a new Sales Up and the customer account already exist, the system will create a duplicate customer account. This is not recommended.

How to create a new Sales Up when the account exists

The new Sales Up should be created under the customer's account. From the duplicate warning, click the link to open the existing Sales Up. In the record, locate the Buyer Field and click to open the customer account.

From the Account, locate the related list for Sales Up (Buyer) and hover the cursor over the hyper link. Keeping the cursor in the pop-up box, click the New Sales Up button.

Creating a New Sales Up from the existing Account will auto-populate the customer's name and other related information. This is a useful shortcut that saves key strokes. Before clicking create, select the Lead Type to complete the required fields.

This process will create two Sales Ups under the same account, rather than duplicate accounts. Under the related-list Sales Up (Buyer) there will be two sales up records for Jennifer Smith.
